Client: Inioluwa Crystal Events, Akure, Ondo State
Industry: Events – weddings, corporate events, product launches and private celebrations
What we built: A public website plus a private event operations platform for the team
What we did: UI/UX design, web and platform development, SEO and content
Live site: inioluwacrystalevents.com
The challenge
Inioluwa Crystal Events plans weddings, corporate events, product launches and private celebrations across Nigeria from its base in Akure, with more than 50 events delivered. Every one of those events involves a lot of moving parts: enquiries to follow up, dates to hold, caterers, make-up artists, MCs, ushers and videographers to book, tasks with deadlines, equipment to track, and payments going out to each professional.
Keeping all of that in phone calls, chats, notebooks and spreadsheets is hard work, and it gets harder with every event added to the calendar. It’s easy for a detail to slip, for a vendor to miss a reminder, or for the owner to lose track of who has been paid. On top of that, the business needed a website that reflected the quality of its events and brought in better enquiries.
Our solution
We built two things that work together:
- A premium public website that showcases the company’s work and turns visitors into well-qualified enquiries.
- A private event operations platform where the owner and team run every event, from the first enquiry to the final payment, in one place.
The platform is the heart of the project. It takes the day-to-day load of running events off the owner’s shoulders, so the team can stay organised and stay true to their promise: “Calm plans. Steady hands.”
The event operations platform
From enquiry to confirmed event
- Enquiries inbox. Every quote request from the website lands here with the event type, date, guest numbers, budget range and the client’s vision. The team can mark each one as new, contacted, converted, archived or spam, so nothing falls through the cracks.
- Events with a clear lifecycle. Each event moves through clear stages, from pending and confirmed to planning, upcoming, in progress and completed, so the owner can see exactly where every event stands at a glance.
- Full event records. Event type, event manager, guest count, budget, schedule and venue, special instructions and private internal notes, all in one place.
- Bookings and calendar. A month-by-month calendar shows every booked event, making it easy to plan around busy periods and avoid clashes.
Managing vendors, staff and tasks
- Professionals directory. One list of every trusted vendor and team member, with contact details, roles and availability.
- Cadres (roles). Professionals are grouped into roles such as catering, make-up, MC and entertainment, ushers and videography. Each event lists the roles it needs, so the team can see straight away which slots are filled and which still need someone.
- Assignments. Assign the right professional to each role on each event, and see every assignment by person, event and date.
- Tasks and deadlines. Create tasks for each event, such as checking and booking the event hall, set the priority and due date, and assign them to a team member. Upcoming deadlines appear on the dashboard.
- Assets. Keep track of the company’s own equipment and décor by category and status.
Money in one place
- Payments to professionals. Record the agreed fee for each professional on each event, what has been paid and what is still outstanding.
- Event expenses. Log every expense against the event it belongs to, by category, so the owner always knows the true cost of each event.
Automatic reminders and communication
- Smart reminders. The owner sets up reminder rules, for example a set number of days before an event, and the platform automatically notifies the right people.
- Email and SMS. Notifications go out by email and SMS, so vendors and staff get the message wherever they are.
Oversight and control
- Dashboard. Each day starts with a clear view of today’s assignments, upcoming events, task deadlines and recent reminder activity.
- Reports. Filter events by date range, status and type to review performance over any period.
- Users and activity log. Team accounts with their own logins, plus a full log of who did what and when.
- Website gallery management. The team adds events and photos to the public gallery straight from the platform, with no developer needed.
- Settings. Branding, currency, timezone, email and SMS settings, and spam protection for the quote form, all managed by the owner.
The public website
- A premium, mobile-first design with a rich, elegant palette and gold accents that match the feel of the events themselves.
- An online quote request form that captures everything the team needs up front: event type, from weddings and conferences to naming ceremonies and burials, as well as proposed date, estimated guests, budget range and the client’s vision. Every request flows straight into the platform’s enquiries inbox.
- An events gallery showing real examples of their work, kept up to date by the team.
- Clear service pages covering weddings, corporate events, product launches, private celebrations, vendor coordination and event styling.
SEO and content
We wrote the website content in the company’s calm, confident voice and structured it around how people search for event planners, by event type and by location (Akure, Ondo State and nationwide), to help the business reach couples and companies who are actively looking for a planner.
The outcome
Inioluwa Crystal Events now runs its whole operation from one place. Enquiries arrive with the details needed to quote, every event has a clear status, every role is staffed and visible, tasks have owners and deadlines, payments and expenses are tracked per event, and reminders go out automatically. The owner spends less time chasing details and more time delivering the calm, well-run events the business is known for, while the website shows the quality of that work to every new client.
